PRIMARY FUNCTIONS

Responsible for answering incoming calls to the practice in a professional, courteous manner. Ensures that visits are scheduled correctly, and all necessary information is documented in patient charts. Provides customer service to patients and appropriately addresses caller concerns or connects callers with the proper staff member.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1.Answers telephone promptly in a professional, polite, and friendly manner.

2.Gathers patient demographic data and accurately documents data in the patient’s EHR.

3.Schedules appointments correctly and reviews appointment details with the caller, including appointment date, time, location, and provider.

4.Exercises sound judgement and appropriately connects callers with a manager when necessary.

5.Engages in patient outreach via telephone for missed, missing, and scheduled visits.

6.Monitors and appropriately processes incoming voicemails and prescription lines.

7.Runs daily reports on appointments scheduled online.

8.Verifies that appointments made online are scheduled correctly and all required information was provided.

9.Assists other departments with simple requests for immunization records or document requests.

10.Reviews the daily schedule for an assigned site to ensure providers are scheduled correctly and all necessary documentation is present.

11.Performs other duties as assigned.

 

QUALIFICATIONS

EDUCTION & EXPERIENCE:

•High school diploma or GED certificate is required.

•Previous experience in healthcare customer service or clerical roles preferred but not required.

KNOWLEDGE, SKILLS & REQUIREMENTS:

•Basic computer skills.

•Comfortability with the pace and confidentiality of a healthcare environment.

•Great interpersonal communication skills, both written and verbal.

•Ability to maintain professionalism when faced with challenging interactions.

•Multilingual is preferred but not required.

•Customer service oriented.

LICENSURE/CERTIFICATIONS: N/A

TYPICAL WORKING CONDITIONS

•Patient-facing over the phone.

•Indoor office work environment.

•Full-time during normal business hours.

 

OTHER PHYSICAL REQUIREMENTS

•Ability to sit at a desk for extended periods.

•Ability to wear PPE as required.

•Lift and carry approximately 15 lbs.

•Intact senses relevant to the role
