About Us:
Pediatric Associates is a leading provider of pediatric healthcare services, committed to delivering top-quality care to our young patients and their families. We are seeking an experienced and motivated Practice Manager to join our dynamic team and oversee the efficient operation of our medical office.

Primary Function:
The Practice Manager will oversee and coordinate all aspects of our medical office operations. This includes managing financial performance measures, scheduling, front and clinical operations, staffing, facility maintenance, inventory management, charge posting, and other administrative tasks. The role involves direct reporting to the Lead Physician, Director of Front Office Operations, and Clinical Services.

Key Responsibilities:

  • Staff Management: Supervise and evaluate office staff, including receptionists, medical assistants, scribes, and lab technicians. Complete annual evaluations, manage new hires, and oversee staff development.
  • Operational Efficiency: Ensure optimal staffing levels, create weekly schedules, and delegate office responsibilities to maintain operational efficiency.
  • Staff Development: Coordinate and conduct monthly staff meetings to educate on new initiatives and policies.
  • Patient Care and Experience: Actively participate in improving patient care flow and work efficiency. Manage overall patient experience using AIDET principles and ensure high-quality customer service.
  • Inventory Management: Oversee medical equipment and supply inventory, perform vaccine refrigeration monitoring, and manage vaccine storage in compliance with regulatory policies.
  • Facility Management: Coordinate facility repairs, support services, and routine cleaning maintenance. Maintain clinical areas according to AAAHC standards and Pediatric Associates infection control programs.
  • Financial Management: Demonstrate understanding of office budget and goals. Complete and reconcile daily reports including Duplicate Charge Report, Missing Charge Report, and Copay Report.
  • Technology Management: Manage IT support services and technology equipment. Ensure proficient use of departmental applications such as TrackIT, ProcureIT, Concur, IT ServiceNow, and Qgenda.
  • Administrative Duties: Handle appointment scheduling, patient check-in/check-out, copay collections, insurance verification, charge and payment posting, and document management.
  • Communication: Maintain effective communication with staff and clinicians through e-mail and routine meetings. Address and resolve staff conflicts professionally.

Working Conditions:

  • Office environment with occasional physical tasks, including sitting or standing for extended periods, stooping, bending, and lifting files or boxes weighing up to 50 pounds.
  • Manual dexterity is required for operating office equipment and typing.
  • Must be able to view and type on computer screens for long periods in a high-volume environment.

  • Proven experience in a managerial role within a medical or healthcare setting.
  • Strong leadership and interpersonal skills.
  • Proficiency in office and financial management.
  • Knowledge of healthcare regulations and best practices.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.
  • Excellent communication skills, both written and verbal.

  • Compliance and Enforcement: Serve as the compliance liaison to ensure adherence to office policies and procedures.
  • Budget and Goals: Demonstrate a clear understanding of the office budget and goals.
  • Performance Management: Familiar with performance evaluations and corrective action processes, and capable of providing necessary employee counseling.
  • Mandatory Training: Complete all required PA University courses by the designated deadlines.
  • Operational Protocols: Ensure that Pediatric Associates' practices and protocols are consistently followed across all office operations, including check-in, check-out, phone handling, postings, and deposits.

Interpersonal and Communication Skills:

  • Professional Conduct: Exhibit tact, diplomacy, and cooperation, and effectively share information with colleagues.
  • Timely Communication: Communicate promptly and effectively via email.
  • Patient and Office Interactions: Assist with handling calls from patients, hospitals, and other doctors' offices.
  • Team Collaboration: Maintain clear and supportive communication with the office manager, local management team, and all providers and staff.
  • Customer Service Support: Aid in resolving customer service issues, including conflicts, disputes, and incidents.

Performance Requirements:

  • Education: Bachelor’s degree required; equivalent experience may be considered in lieu of a degree.
  • Licensure: Active CPR certification required.
  • Experience: Preferably two years of experience in a medical office setting. Knowledge of computer systems and medical terminology is desirable.
